Guild Care is committed to complying with the General Data Protection Regulation (GDPR) and the Data Protection Act 2018. Looking after the personal information you share with us is very important, and we want you to be confident that your personal data is kept safely and securely. To enable you to understand how we use your information for particular purposes we have put together a series of privacy notices. These privacy notices explain what information we will hold, why we need it, what we will do with it, how long we will keep it for, who can access your information and what your rights are.

How do we collect information?

We will collect information from you if you:

  • Enquire about or sign up for any of our services
  • Enquire or apply for employment or volunteering opportunities
  • Register with us to make a donation or to be kept up to date regarding our charitable work, news and activities.
  • Donate goods to our shops with Gift Aid

How do we use this information?

We will use your personal information to provide you with the services, products or information you have requested, for administration or recruitment purposes and to further our charitable aims, including for fundraising activities. We may need to share your information with our service providers, associated organisations and agents for these purposes.

We only use your personal information for direct marketing purposes if we are allowed to do this by law or if we have your consent.

How do we protect personal information?

We take appropriate measures to ensure that the information disclosed to us is kept secure, accurate and up to date and kept only for so long as is necessary for the purposes for which it is used.

Our organisation has a number of policies and procedures in place to ensure that all data is protected and handled in a compliant manner.

All of our staff, volunteers and contractors are committed to keeping your data safe and have received appropriate training in handling and protecting data.

What are your rignts?

You have the following rights regarding the use of your personal data:

  • You have a right to request to see the information we hold about you
  • You have the right to correct any information that we hold about you
  • You have the right to request that any information we hold about you is erased
  • You have the right to request we keep your data but do not use it
  • You have the right to object to how we are using your data
  • You have a right to request that your information is shared with a third party
  • You have the right to change your preferences about what information we hold about you and who it is shared with

Any of the above requests need to be made to the Data Protection Officer. We will process your request within 30 days and this is usually completed free of charge. The initial request can be made either in writing or verbally but processing can only begin once we can verify your identity and your right to the request.

Additionally, we must inform you if we believe that your data has been accidently lost or inappropriately disclosed.

How to complain about the use of your data

If you wish to raise a complaint about how we have handled your personal data, you can contact the Data Protection Officer who will investigate your concerns.

If you are not satisfied with our response, or believe we are using your data unfairly or unlawfully, you can complain to the Information Commissioner’s Office (ICO). You can find further information about the ICO and their complaints procedure here: https://ico.org.uk/concerns/
